Creative & Administrative Coordinator
About the Role
Annalise Kaylor Photography is a wildlife photography practice built around education, exploration, and getting people into the field to experience the natural world through their unique lens. We lead workshops and photo tours around the globe, teaching students to see and photograph wildlife with more skill, more patience, and more joy. We’re committed to the belief that nature belongs to everyone and are dedicated to building an inclusive, welcoming community for everyone.
We’re looking for a resourceful, self-directed contractor who wants to grow this business alongside us. This is a creative-meets-logistical role: one week you might be editing together a reel from footage shot on the Yellowstone plains; the next, you're coordinating hotel block contracts for a group heading to coastal Alaska.
The right person for this role isn't necessarily a photographer, and honestly, we’re not looking to hire one. We want someone who is curious, brings their own ideas to the table, and who sees their job as making this business run better and look sharper. If you're highly organized, have a good eye, and can hold multiple responsibilities without dropping any of them, we’d love to hear from you.
What You'll Work On
Social Media Video & Content Strategy: You'll receive raw b-roll footage and photos and pull them into polished short-form videos for Instagram Reels, YouTube Shorts, and similar platforms. You're not just executing cuts, you're also thinking about strategy: what content works, what's missing, and what to ask for. If you need different footage or additional assets to make something work, you ask for it. We’ll create what you need; your job is to direct the vision and deliver the finished product. We use Adobe Premiere Pro and Artlist for audio. Canva access will be provided for any graphics or supporting assets. We also have access to a robust natural sound library, and can license additional b-roll as needed, too.
Workshop Guide Design: We produce a detailed and thorough digital guide for workshop participants for each individual workshop. You'll take written content and photos provided by Annalise and execute the layout and design. Canva (account provided) is the primary tool for this work and the templates already exist, though I’m open to your suggestions if you see an area where this could be improved.
Workshop Travel Coordination: This is one of the more complex parts of the role. You'll call and correspond with hotels to negotiate group room blocks, liaise with local outfitters and transportation partners, track confirmations, and keep the logistics organized. You need to be comfortable on the phone and confident in communicating professionally on behalf of the business. Negotiation skills are helpful in this aspect of the role, too.
Workshop Enrollment Support: You'll occasionally help book clients into upcoming workshops. Sending confirmation details, answering logistics questions, and keeping the enrollment process running smoothly. Most client communication stays with Annalise; you're the operational support layer. We use Dubsado as my CRM for all workshop-related business. No experience with this program is necessary, as we use it in a way that’s a bit different than the standard setup and will teach the right person.
Workshop Coverage: When Annalise is in the field with clients, she may need light email monitoring support on some days — not managing correspondence, but flagging anything that needs her attention when she's back at the hotel in the evening. This isn't a daily commitment, and the scope will be clear and agreed upon in advance.
Destination Research: When a new workshop location is under consideration, you'll pull together research: accommodation options, access and transportation, wildlife seasonality, permitting considerations, and anything else that informs whether a destination is viable and when to run it.
What We’re Looking For
You’re curious.
Proven video editing experience for social media — a portfolio or work samples are required
Comfortable in Adobe Premiere Pro; Canva proficiency is a plus
A strategic eye for content: you think about why a video works, not just how to cut it
Comfortable with layout and document design. You have an eye for clean, readable work
Strong written and verbal communication; confident making calls on behalf of a business
Highly self-directed — you manage your time, track your own hours, and deliver on deadlines without being chased
Responsive and communicative: you flag problems early and ask good questions
An interest in or appreciation of the natural world is a plus, and while photography experience is helpful, it’s not required or expected beyond help with social media
Logistics
Hours: Approximately 10–20 hours per month to start. Hours fluctuate with the workshop calendar and production schedule. This is intentionally a part-time engagement.
Location: Fully remote. You must be based in the United States and available during US business hours for calls and coordination.
Engagement type: Independent contractor (1099). You are responsible for your own taxes. You will invoice for hours worked on a schedule we agree upon at the start of the engagement. Key software (Canva, Artlist, Premiere Pro) will be accessible through existing accounts — you won't need to provide your own.
Rate: $25–$35/hour, depending on experience and skill breadth. Strong candidates who bring both creative and logistical capabilities will be compensated at the higher end. Rate increases will be reviewed at 30 and 90 days, then again at the one-year mark.
Travel: This role is fully remote for now. There may be future opportunities to join on-location for workshop content capture, something we can discuss as the relationship develops.
